Mail Ballot Counting and Recording Procedure

 

 

Step 1.

Envelope mailed to member:

            Encloses:

                        Explanation of voting procedure

                        Rationale of ballot subject

                        Ballot

                        Envelope for ballot

                        Return envelope

 

Step 2.

Member:

                        Reads enclosed material

                        Signs voting certificate

Marks ballot and encloses ballot  in envelope and seals it and folds it to fit inside the return envelope (CHC addressed)

Mails ballot and voting certificate to CHC in return envelope or brings the sealed envelope to the annual meeting.

 

Step 3:

 

Secretary receives ballots from voting member and places in lock box or secure location. Box is given to Tellers Committee when votes are going to be recorded. Five tellers should be elected by voting members at the annual meeting. The member who receives the largest number of votes will serve as the committee chair.

 

 

Step 4.

First Tellers:

                        Open return envelope

                        Verify voting certificate on rolls, record that association member has voted

                        Drop ballot envelope (unopened) in ballot box

 

Step 5:

Second tellers:

                        Day of annual meeting

                        Open ballot box

                        Open all ballots envelopes, remove ballots, and stack in one pile

                        Count and record ballots

                        Sign Tellers Report
